Campus Operating Board: The Fifth Door

One board for the whole community, covering Independent Living on Brandermill Woods Trail, the Health Care Communities on Brandermill Parkway, and the homecare line that serves residents on campus and clients across the Richmond area.

Design concept. The homepage of brandermillwoods.com shows a full continuum of care as four doors: Independent Living, Assisted Living, Memory Care, Skilled Nursing. Homecare is the fifth door, and on most boards it lives in a footnote. Here it gets a tile in the KPI row, a panel of its own, and a place on the campus plan, because it is the only line that reaches people before they ever ask for a tour.

Every tile, chart and callout below recalculates from these three controls. Census is a point in time measure, so when a referral channel is selected the first tile switches to move ins from that channel.

The Brandermill Woods campus plan

Two addresses, five lines of care, and the moves between them. Building fill shows occupancy against published capacity where a capacity is published. The homecare rays leave the campus entirely.

A plain question typed into the board, answered from the same tables the tiles are built on.

This runs on our own server. The question, the generated SQL, the answer and the chart it points to all stay inside the Brandermill Woods environment. Nothing about residents, clients or inquiries is sent to a public model or to any outside service.

Nightly two address census merge

Census, inquiries and care starts pull from the Independent Living system and the Health Care Communities system into one campus table every night, keyed to the same resident and unit identifiers.

Replaces: the Monday morning rebuild of a workbook that has to reconcile two addresses by hand.

Inquiry aging alerts by line

Any inquiry with no tour or consult booked after five days sends a short note to the owner of that line of care, with the inquiry, the channel it arrived on, and how long it has been sitting.

Replaces: reading down a shared list looking for names that have gone quiet.

Homecare hours reconciliation

Scheduled hours are matched to delivered hours by client each week, with an on campus or off campus flag, and anything unmatched is listed for review before the period closes.

Replaces: the monthly hand tally of homecare hours against the schedule.

Together these three return roughly 62 hours a month of senior staff time, illustrative, and they are the reason the board above is never more than a day out of date. The reconciliation step is what makes the homecare tiles trustworthy enough to put in the KPI row rather than a footnote.
